Your Opportunity:
To provide support and assistance as required to Global Chief Executive Officer and Other Officers, when required, in all facets of the business. Ensure all diary management and administration support is of a consistently high standard, and to lead the way by guiding and influencing Support Centre team to adhere to a clean and efficient workspace.
In addition, you will always present in a professional manner and practice discretion and confidentiality, while acting as the front-line contact for the Support Centre.
• Provide support to the Global Chief Executive Officer as required
• Manage diary schedules, including pre-meeting preparation
• Support the preparation of reports, presentations, and administration
• Assist in preparing monthly Board reports across all departments
• Produce Support Centre communications in line with Lovisa tone and style
• Coordinate all Support Centre events, including social events and the Christmas party
• Prepare general correspondence, memorandums, and reports accurately
• Communicate on behalf of the CEO with internal and external executives
• Arrange CEO travel and business appointments
• Manage enquiries and redirect urgent matters in the CEO’s absence
• Compile reports and data as directed
• Record and distribute meeting minutes as required
• Act as a central coordination point for team matters (leave, requisitions, approvals)
• Identify and implement process improvements to drive efficiency
• Build and maintain strong stakeholder relationships
• Maintain flexibility outside standard working hours when required
• Maintain professionalism in all discussions regarding employees and stakeholders
• Communicate respectfully, providing feedback only in appropriate settings
• Ensure proficiency with technology (e.g. Zoom,MS Teams, Microsoft Suite) and meeting setup
• Manage monthly executive expenses
Overview and support to the Office Manager and Receptionist who are responsible for:
• Manage reception and ensure all visitors are welcomed
• Maintain meeting rooms and communal kitchen areas
• Manage couriers and all incoming/outgoing mail
• Maintain office amenities and stock kitchen supplies
• Order and manage stationery supplies weekly
• Manage postage and ensure supplies are maintained
• Communicate Support Office updates (e.g. building works, parking, desk changes)
We are looking for the below skillset and experience:
Strong communication skills at all levels
To maintain an efficient typing speed with at least 95% accuracy
Strong computer skills, including Word, Excel, PowerPoint and Outlook
Experience in implementing process improvements/efficiencies
Experience in a fast paced, dynamic organization
Determination to achieve results
Openness/willingness to change
Desire to understand strategic direction of the business
The ability to anticipate what may be required
Ability to work autonomously and exercise discretion
Ability to work to deadlines
Good presentation skills
Attention to detail
